Rental Manager - Duck

The Rental Manager is responsible for stability and growth in the office as well as providing the highest level of guest satisfaction to owners and guests to ensure the continuous delivery of hospitality, professionalism, and consistency. This position will supervise rental staff, provide excellent customer service via face to face, phone, email, text, written, etc. conflict resolution with tenant and homeowners, inspections, evictions, keeping the workload in the office flowing smoothly, and all other areas as needed and requested.

Responsibilities include, but may not be limited to, the following:

  • Ensure excellence in hospitality, highest level of guest and owner satisfaction, is provided to all owners and guests. 
  • Follow through on owner and guest requests and/or concerns in a timely manner. Documentation is of the utmost importance in maintaining a good working relationship with everyone ensure this is maintained throughout. Document all correspondence and telephone conversations with owners, vendors, employees, tenants. 
  • Communicate with all internal departments effectively and proactively including housekeeping, maintenance, and management.
  • Excellent customer service skills are essential.
  • Encourage Property Consultant in listing homes. Transition new owners well so they have a good relationship moving forward with Sun.
  • Supervise employees, monitor, and approve ADP for payroll processing, prepare work schedules
  • Recognize emergency situations and take appropriate action, including but not limited to weather events, office threats, etc.
  • Able to perform a variety of duties, often changing from one task to another of a different nature, with impending deadlines and/or established timeframes.
  • Assist owners in solving problems, suggesting updates or enhancements to their rental property.
  • Analyze inventory, property performance, descriptions, and photography.
  • Assist all departments and employees as needed or requested (walk-in customers, maintenance coordinator, sales agents, reservationists, inspectors, cleaners, personal coordinators, others).
  • Purchase items for rental properties, as necessary.
  • Ensure that all monies collected are counted and promptly delivered to the accounting department in the time required by North Carolina Real Estate Commission law.
  • Ensure you and your entire team follows all Sun Realty policy and procedures, Real Estate Commission rules, NC statutes, laws, and Realtor codes of ethics always.
  • Attend Realtors Property Mgt meeting and any other meetings or training events as required or requested
  • May be required to assist with other Sun offices/departments as needed. 

Requirements and Qualifications: To perform the job successfully, an individual must be able to perform each duty satisfactorily. The requirements listed are representative of the knowledge, skill and /or ability required. Must have a good attitude, the ability to work well with others and have high personal integrity. Reliability and confidentiality are also essential. Able to make decisions when circumstances arise that require action. 

Physical/Mental Demands: Hearing, speaking, seeing, sitting, walking, standing, driving, bending, and climbing steps; lifting and carrying 25-30 lbs., reading, comprehension, analytical thinking, problem solving, legible writing skills and effective written and verbal communication in the English language.

Machines/Equipment/Licenses: Reliable transportation, with valid, active NC driver license, proper insurance, and inspections (as required in company guidelines); computers, copiers, all office equipment; Licensed by NC Real Estate Commission, current and in good standing; member of REALTORS®.

Work Environment: Office work with exposure to outside weather conditions, as warranted, climbing flights of steps inside and out, fast paced, at times mentally strenuous; shifting priorities due to changing needs and situations with little to no notice, maneuvering a vehicle in congested traffic, walking in soft sand.

Maintenance Manager

Sun Services Maintenance Manager is responsible for the management and oversight of daily operations of Sun Realty’s maintenance department including hiring, training, scheduling, and supervision of the maintenance technicians. Team leadership, operational efficiencies, quality service, including repairs and upkeep of vacation rental homes, is a priority.

Responsibilities include, but may not be limited to, the following:

  • Assist General Manager with owner/guest resolution and communication
  • Support rental managers with guest/owner resolution and communication
  • Support rental managers to ensure priority work orders are addressed
  • Work with GM to ensure timely work order completion including review of open work orders; report and reschedule any outstanding or incomplete work-orders
  • Oversee daily work schedules in conjunction with the maintenance coordinators to ensure efficiency and completion of work-orders
  • Assist with invoicing and billing review
  • Promote a positive work environment and team leadership including hiring, training, and overseeing service technicians
  • Manage quality control by spot checking completed jobs
  • Assign service technicians’ coverage and work schedules; review technicians’ time and approve in ADP
  • Perform annual review of maintenance technicians 
  • Schedule monthly meetings with technicians
  • Provide estimates as needed to owners and rental offices
  • Order parts for pending work orders as needed
  • Assist in field as needed for work order completion, including afterhours calls
  • Ensure technicians are maintaining clean vehicles, assist with fleet oversight as needed
  • Assist GM with potential profit/savings
  • Oversight, supervision, and decision making in General Manager’s absence
  • May be required to assist with other Sun offices/departments as needed

Requirements:

Physical/Mental Demands: Hearing, speaking, seeing, walking, standing, sitting, driving, reaching bending climbing steps/ladders, and lifting 50-85+ pounds; reading, comprehension, legible writing skills and effective written and verbal communication in the English language.

Machines/Equipment: A valid, active NC driver license for a minimum of 3 years (clean MVR); the operation of basic tools and equipment; smart phone or similar electronic device.

Work Environment: Exposed to outside weather conditions, fast paced, physically strenuous; working in attics or crawl spaces; climbing flights of steps inside and out; maneuvering a vehicle in congested traffic.

Housekeeping Manager

Ensure the highest level of overall housekeeping services in accordance with company policies and procedures; manage the day-to-day planning, organizing, directing, and training and developing of team members. Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
